Website & survey access
- I think having a homepage on lrs.org was an effective & easy way to communicate about the survey
- It would be great to have an FAQ page as well.
- This could be based on the FAQ page I made while out of the office, but tailored for users.
Communication & Reminders
- Initial invitations
- We sent out hard copy invitations via mail and courier
- We sent out info on the Scoop, Libnet, Cosll, School Library Hotline and CASL
- We also sent an email merge to everyone who completed the survey last year
- Reminders
- This year we did not do postcard reminders, but we’d like to try them next year
- We sent out email reminders to everyone who completed the survey last year but not yet this year
- We sent email notifications to all our state grants to libraries school contacts
- We posted on LRS and CSL Twitter and Facebook
- The language for those postings is here:

Mail Merge
- The mail merges often send the passwords all in uppercase, but the passwords are case-sensitive, so then we are sending people incorrect passwords.
- I tried to update this on all the template versions of the mail merges for 2017-2018, but it would be good to double check in 2018-2019.
Mailing
In the mailing some of the passwords that have lowercase were printed in uppercase, creating confusion for people who logged in.
Courier
- The courier codes come from CLiC. We need to do an update of them for 2019. http://courier.clicweb.org/
- Weld Country RE-3J left the courier in 2018
Suggestions from librarians who took the survey:
- Would like definition for what is a group visit and what is an individual visit
- This can get quite nuanced, like if students come together as a group, but work on different things, how should they count it?
- How much specific guidance do we want to give them?
- This can get quite nuanced, like if students come together as a group, but work on different things, how should they count it?
- One person was concerned about the fact that if there are multiple school library staff members but only one fills out the information about how they spend their time, some activities that other library staff complete will be missing.
- An area for people to share how many times they went and taught in another classroom (outreach?).
- Or we could include that in the total visits calculation?
- On library personnel question (#17) include “certified teacher” as one of the phrases
- In terms of computers, do you they count their OPAC computer as one of the computers?
- I said yes, if it meets the definition, then include it
