FAQ

What is my login info?/ I never received an invitation

*Schools change their names frequently. Search by district and find out previous names.

My login info isn’t working.

  • Look them up in the survey sample
  • Double check their username and password.
    • Zeros versus the letter O has been an issue before.
    • Also check for capitalization issues. A couple of mail merges sent the passwords all in uppercase, but they are case-sensitive.
  • Try logging into Survey Gizmo using their login info.
  • If that still doesn’t work, you can change their password in SurveyGizmo.
  • Make sure you also change it in both the LRS tool and SurveyGizmo.
  • (I’ve never actually had to do this.)

We are a public and school library.  How do I answer question X?

  • Do you receive funding from the school?
  • If no, then we don’t consider them a school library for the survey and don’t include them.
  • If yes, then we would prefer that they separate the school data from the public data.
    • Ex. separate hours open to the school v. public, school circ from public circ
  • Some libraries cannot do this, or it would be extremely time-consuming.  
  • For those that can’t separate the data, have them write a note in the comments section at the end of the survey that they used combined data.

We are a single school library that serves multiple schools. How do I answer question X?

  • We only want one survey per library (rather than one per school).
  • Very likely their data is lumped together for all the schools they serve.
  • Ask the respondent if any of the other schools the library serves took the survey.
  • Check the survey sample to see if we sent logins to the other schools that library serves.
  • Have them write a note in the comments section at the end of the survey that they are a library that serves multiple schools.
  • Make a note in the help log that there could be duplicates for this library.

I submitted my survey before I meant to.  Can I go back to it?

  • Did you reach the second page of the survey?
  • If so, you were automatically emailed a link to return to your survey.
  • You can use that link to return to continue editing, even after submission.
  • Just make sure to hit the “submit” button again when you are done.  
  • The survey will automatically save when you hit “next” at the bottom of the page.

I started my survey and tried to login to finish it, but it said my credentials are invalid.

I cannot find any links for me to return to my work on the survey.

  • They cannot access their previous work by logging in again.
  • If they finished page 1, a “saved” link was auto emailed from noreply@surveygizmo.com
  • School_Library_Survey@cde.state.co.us is also copied all on saved & submitted emails.
  • Search for part of their email address in the “2018>Saved Survey” folder
  • Email them the link

Will you accept the survey after June 1st?

  • Yes.  The survey does not have an automatic close date right now.
  • Anyone who wants can have until June 15th.
  • If they need even longer, tell them I will be in touch when I return.

We have more than one library staff member.  Who should take the survey?

  • If there is a librarian/teacher librarian on staff, please have one of them take the survey.
  • Please only have one staff member per school take the survey.

I don’t understand question X.  

  • Ask them which version of the survey they are using.  
    • For the printed version, it says in the upper right hand corner.

I don’t like question X.

  • Please tell me why you don’t like this question.  We will make a note for next year.
  • Record their comments in the Help Log.

Why do you ask question X?

  • If you feel like you can explain the rationale behind the question, go for it.
  • If not, take down their name, phone, number email in the help log.
  • Tell them I can follow up with them when I’m back in.

I cannot access the School Library Survey homepage or lrs.org

  • Make sure they are going to LRS not to IRS.org
  • If it still doesn’t work, could be the internet settings at their school

Look up a school in the survey sample

  • Look them up in our LRS tool: https://staff.lrs.org/tools/school-libraries
  • We added all the schools in Colorado to the database, so they should be in there even if they are not in the sample*.
  • Schools in the survey sample will have a green check under the “2017-2018” column.
    • If they are in the sample, they should already be in Survey Gizmo too.
    • Email them their username and password.
  • If there is no green check to indicate they are in the sample, verify that they have paid staff working in the library.
  • If they have paid staff, you need to add them to both the LRS tool and the survey.

Add a school to the survey sample

  • Login in to the LRS tool and look up the school: https://staff.lrs.org/tools/school-libraries
  • For that school, click on the blue “Edit” link on the far right of the screen.
    • Under “Year,” check the the “2017-2018” box
    • Change the “Is Exception” to “yes” and write a note like this:
      • “Manual add by Katie on 5/17/18”
    • Hit the blue “save” button
    • A green bar will update across the top of the screen that indicates they have been added to the 2017-18 sample.

Add a school to Survey Gizmo

  • Login in to Survey Gizmo
  • Go to the “Annual Colorado School Library Survey 2017-2018”
  • Select the “Build” option for the survey
  • On the top of the first page, there is a “Login/Password” action in purple. Click on “edit”
  • After the editing window opens, click on “Add individual record” in blue
  • Add the following elements of information to the survey in Survey Gizmo
    • Username
    • Password
    • school_name
    • CDE_id
    • Address (pull from CDE mailing spreadsheet)
    • City (pull from CDE mailing spreadsheet)
    • Zip (pull from CDE mailing spreadsheet)
  • Click “Save” and the first edit window will close
  • Then click “Save action” and the second edit window will close
